We are seeking a highly organized, proactive, and versatile individual to provide comprehensive support to our key executives.  This role is a unique opportunity to contribute across multiple facets of the business, including marketing, human resources, new business development, and direct c-level administrative support.  The ideal candidate will be a strategic thinker with excellent communication skills, a strong work ethic, and a passion for supporting leadership in achieving company objectives. 

Job Description

The Key Executive Support role will provide personalized high-level administrative support to the CEO and other executive leaders in a well-organized and timely manner.  This role will work one-on-one with various executive leaders on a variety of tasks and will be required to exercise good judgement and maintain a realistic balance among multiple priorities.

Responsibilities

This role will be responsible for facilitating efficient day-to-day operations by providing and leading support to both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization.

  • Complete a broad variety of administrative tasks for executive leadership
  • Manage sensitive matters with a high degree of confidentiality, discretion, and professionalism
  • Manage and track executive expenses, including reimbursements and budget oversight
  • Oversee and manage a variety of special projects, often with deadline pressures, to successful completion
  • Coordinate meetings, conferences, and events including logistics, catering, lodging, transportation, and materials preparation
  • Assist with recruitment processes, including posting job openings, screening resumes, and scheduling interviews
  • Conduct customer and prospect research

Essential Functions

  • Schedule and attend meetings on behalf of executives, taking notes and recording minutes.
  • Welcome guests and clients by greeting them, in person or on the telephone; answering or directing inquiries
  • Assist in preparing and managing presentations and decks
  • Prepare letters, memos, forms, and reports according to written or verbal instructions
  • Perform other related duties as assigned

Qualifications

Required Qualifications/Skills

  • Associate’s degree
  • Excellent interpersonal skills (verbal and written)
  • Proficient experience with Microsoft Office Suite including Word, PowerPoint, and Excel
  • Strong organizational skills with the ability to manage multiple priorities and maintain a high level of attention to detail
  • Effective time management skills with a proven ability to meet deadlines
  • Ability to multi-task, effectively prioritize work, and adapt during pressured situations
  • Ability to work autonomously and collaboratively and contribute to a positive and productive work environment

Preferred Qualifications/Skills

  • Bachelor’s degree in related field
  • Minimum of 1 year experience in similar environment
