Are you looking for a dynamic role where you can showcase your organizational talents and support our office in its day-to-day operations? We're seeking an enthusiastic individual to join our team as an Office Task Superstar! You'll be the backbone of our office, helping us with a range of essential tasks such as answering phones, categorizing emails to staff, downloading and saving documents, creating invoices, and sending proposals.

Let’s talk about some of the downsides of this position first:

  • We can’t pay the same wages/benefits as a large corporation.
  • Hours will begin part-time, but as you start to get more familiar with our business and how to do the work, we’d love for you to join us full-time.
  • If you’re looking to make a lot of money or want to begin immediately with full-time hours, we are not the right fit.
  • We have deadlines we have to meet (clients and tax agencies want their reports on time!)

Now to the positives:

  • This is a remote position. You will be expected to look professional when on video calls with prospects or clients, but you’ll be able to wear comfortable attire.
  • We can offer more flexible hours than a typical 9-5 position. A schedule is created, but we can consider family needs and adjust if needed. We have staff in 3 time zones.
  • You will be empowered to make decisions. I don’t like to micromanage.

Administrative Assistant: Overview of the Position

  • Help with office tasks such as answering phone calls, categorizing e-mails for staff, responding to e-mail messages, etc.
  • Interact with prospects including sending questionnaires, setting up follow-up appointments, doing transaction counts, creating proposals and engagement letters, contacting them for missing paperwork, etc.
  • Onboarding clients as they engage our services.
  • Assist other employees with tasks as needed (downloading bank statements, saving documentation, sending requested information to clients, etc.)
  • Assist President with any necessary tasks such as requesting information from clients, managing sales calls that come in, scheduling client appointments, etc,)

Skills we're looking for:

  • Exceptional verbal and written communication skills with impeccable spelling and grammar.
  • Proficiency in Word, Excel, and Outlook (bonus points if you have an accounting/payroll background).
  • A professional demeanor and appearance that represents our company's values.
  • Strong organizational skills to keep everything running like clockwork.
  • Punctuality and excellent attendance because you're a reliable team player.
  • A logical thinker with the ability to follow processes efficiently.
