Master Services, a regional leader in waterproofing, foundation repair, and concrete services, is expanding—and we’re looking for a dynamic and reliable Administrative Assistant to help launch and support our newest office. This is a unique opportunity to be the primary office professional for the location, providing key support in scheduling, customer care, and operational coordination.

What You'll Do

As the go-to administrative support, you'll manage day-to-day office operations and play a critical role in communication and scheduling. Your responsibilities will include:

Customer Communication & Office Administration

  • Answer and direct incoming phone calls professionally and efficiently
  • Draft, proofread, and send emails or letters on behalf of the Operations Manager
  • Greet visitors and manage check-ins at the front desk
  • Keep customer records updated and assist with follow-ups
  • Maintain office supply inventory and place orders as needed

Scheduling & Project Coordination

  • Schedule customer appointments and service calls
  • Manage calendars for technicians and the Operations Manager
  • Coordinate internal meetings and assist with travel bookings or accommodations
  • Organize and prepare installation paperwork and job files

Logistics & Support

  • Serve as a communication hub between office and field teams
  • Ensure smooth scheduling of crews and accurate project timelines
  • Support production operations to keep projects on time and customers informed
  • Assist with light reporting, data entry, and process improvements

Qualifications

What You Bring to the Role

  • 2+ years of experience in administration, scheduling, customer service, or logistics
  • Strong multitasking skills and ability to manage priorities independently
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and ability to learn new software
  • High attention to detail and a solution-oriented mindset

Work Schedule:
Monday – Friday | 8:00 AM – 5:00 PM
